Proctors | Assessments
What is a proctor?
A proctor is a person who monitors individuals during an examination. The proctor is present during the entire assessment to ensure assessment guidelines are being followed. Before the proctored session, the proctor must read the guidelines to familiarize themselves with the rules and regulations for the assessment.
Assessment Guidelines
The assessments must be completed in one sitting and in a location with computers and an active, reliable internet connection. If there is an interruption during the assessment due to a computer or internet issue, the test will need to be restarted.
Assessments may be proctored in a district office, human resources department, library, or school computer lab. The assessments may not be taken in a test taker’s home, the teachers’ lounge, or a classroom with students present.
Proctoring Guidelines:
Proctors must be present the entire time the test taker is completing the assessments.
Possession of or use by the test taker of any notes, calculators, cell phones, tablets, wearable technology, watches, memory sticks, thumb drives, and other electronic recording, listening, scanning, or photographic devices is strictly prohibited. Scratch paper may be provided.
Accommodations for test takers with a documented disability should be arranged based on the type of accommodation(s) reasonably required by the disability. You must document the accommodation(s) when setting up the proctoring session for that individual. Accommodation does not include assistance in answering the questions.
Before the assessment, the proctor must:
- Be added into the system with proctor access before administering a test session.
- Schedule the appropriate time to administer the test, keeping in mind the following: (1) Assessment 1 includes 30 questions and may require up to 1 hour, and (2) Assessment 2 includes 75 questions and may require up to 3 hours.
- Reserve an appropriate location and ensure that computers with a reliable internet connection are available during the testing. The computer must not be provided by the test taker.
- Communicate the date, time, and location to the appropriate test takers for the assessment and let them know to bring a valid photo ID, which may include one of the following: a driver’s license, state-issued photo ID, military ID, or passport.
On the assessment day, proctors must:
- Require the test takers to sign in and show a valid photo ID to prove their identity.
- Verify that test takers do not have access to any notes, calculators, cell phones, tablets, Chromebooks, laptops, wearable technology, watches, memory sticks, thumb drives, and other electronic recording, listening, scanning, or photographic devices.
- Provide scratch paper and pen if needed.
- Stay in the testing area and observe the test takers.
- Monitor computer screens to ensure that test takers are not accessing other windows (other than The Master Teacher eLearning Platform) while taking the assessment.
- Prohibit communication between test takers during the assessment.
- Answer questions about accessing and using the assessment program only.
- Permit breaks for emergencies only, unless it is for a health-related accommodation made for a test taker. If a break is necessary, the test taker must complete the section they are working on first and show where they left off. Once they return, you must ensure that they start where they left off.
After the assessment, proctors should:
- Check the Proctoring Dashboard to ensure that both assessments have been passed and that you have the certificate available to you.
- Ensure that the test taker received the certificate in their email inbox.
**The following states require proctors to submit a copy of the test taker’s certificate to their State Department of Education: Arizona and North Dakota.**
Grading
After answering all the questions for a section, click Submit to move to the next section. Once the test is complete, the proctor must check the Proctoring Dashboard to see if the test taker passed or needs to retake the assessment. The test taker’s final score for the entire assessment will be determined by the percentage of correct answers they’ve submitted from all sections. When they have obtained a passing score, the Paraeducator Title I Certificate will be emailed to the test taker. In the event that the test taker does not pass, they will be able to retake the assessment.
Creating a Proctored Session
Test takers must be enrolled in a session OR given a code to access the assessment. To enroll the user and create the code for the assessments, you will need to set up a proctored session. You can receive the code and enroll users by creating a single session in which both assessments will be available for the user to access. A proctored session can only be open for a maximum of 24 hours.
1. Click Proctoring Dashboard in the left navigation pane.

2. Under My Proctored Sessions, click View.

3. Click New.

4. A pop-up screen will appear. Fill out the form with the appropriate information.

5. Once all the information is filled out correctly, click Save, and the session will be created. After clicking Save, you will see the new session along with any other previous sessions you have proctored. The new session will show as "Pending.”

6. To open a more detailed view of the session, click View.

- You will see the entry code, the session time, and the status of the session as well as available users and enrolled users.

7. To enroll an available user into the testing session, click Enroll to the right of their name. This will move the user to the “Enrolled Users” window.

- If you added a user by mistake, remove them by clicking the 3 dots (...) to the right and click Remove User.

8. If the test taker is not listed under “Available Users” and they have an active account, they can use the Entry Code to access the testing session.

9. If an accommodation is necessary, it must be added in now by clicking Add Accommodations.

- A pop-up window will appear, and you can choose from Human Scribe or Human Reader.

- This accommodation will show up on the final certificate.
10. Once all test takers are enrolled and ready to test, you will click Start Session.

After a user completes and passes the assessment(s), the certificate will be emailed to them automatically. They will also be able to view and download the certificate on their account. The proctor will also have access to the certificate as well as the ability to resend it to the test taker from the Proctoring Dashboard.
After the Assessment
If the user did not pass and the testing session is still open, you can allow them to retake the assessment immediately by clicking Allow Retake? to the right of their results.

If the user is not going to be making a second attempt during the current session, a new test session will need to be set up.
From here, you can also view a breakdown of the scores:
1. Click on the failed assessment.

2. Click the > arrow, and a pop-up window will provide more detailed information about the assessment. This will show each section of the assessments along with its respective score. This method allows test takers to identify which part of the assessment poses the most challenge, aiding in the selection of specific courses for review before attempting the assessment.
